The Problem :
Tromborg ApS, a Danish luxury skincare and makeup brand, required integrated services for handling various business documents such as PRICAT, orders, invoices, dispatch advice, and order confirmations. They faced several challenges:
- PRICAT: Tromborg needed to send PRICAT (Price Catalog) files to different customers in specific formats. Their primary issue was converting these files (e.g., from HubXML to D96A) to meet their trading partners’ requirements and delivering them to the correct destinations.
- Order: Tromborg received orders from multiple sources: network, SFTP, and various Shopify stores. Their goal was to streamline the process, ensuring all orders were automatically imported into their ERP system without manual intervention.
- Invoice: Tromborg wanted to send invoices to suppliers using different methods. Some invoices were transmitted via their ERP system, while others were sent through FTP. Additionally, certain suppliers required customized invoice formats based on payment rules, posing a challenge in managing these diverse requirements.
- Dispatch Advice: For dispatch advice (DESADV), Tromborg sends PDF files through IMAP. Customers had varying requirements for document formats and preferred receiving methods, including SFTP. The challenge was converting the dispatch advice from PDF to D96A and sending it to the correct trading partners.
- Order Confirmation: Tromborg sends order confirmations via email in PDF format. They needed these confirmations to be delivered to customers according to their format requirements.
The Solution:
Hubbroker provided Tromborg with a comprehensive EDI and document integration solution to address each of these challenges:
- PRICAT: We developed a document conversion system that converts PRICAT files from HubXML to D96A format based on customer requirements. The converted documents were then delivered securely to their destination.
- Order: We implemented an ERP integration that automatically imports orders from various sources—network, and multiple Shopify stores syncing—into Tromborg’s ERP system. This solution eliminated manual order entry, speeding up the order processing workflow while maintaining data security.
- Invoice: To manage invoice diversity, we built a flexible system that could handle invoice delivery via different methods, including ERP and FTP. For suppliers with customized payment rules, we tailored the invoice formats to meet their specific needs, ensuring accurate and compliant deliveries.
- Dispatch Advice (DESADV): We provided a conversion solution that transformed dispatch advice PDF files into the required D96A format. The converted files were then transmitted via the preferred method (e.g., SFTP) to ensure smooth document exchange with trading partners.
- Order Confirmation: For order confirmations, we converted PDFs received via email into XML format and delivered them to customers via the network, ensuring that all customer-specific format requirements were met.
